KBT Maintenance – Terms and Conditions of Service
1. Introduction
These Terms and Conditions apply to all property maintenance and management services provided by KBT Maintenance ("we", "us", "our") to landlords, property managers, and agents ("you", "your"). By engaging our services, you agree to be bound by these terms.
2. Scope of Services
We provide a range of property maintenance and compliance services, including but not limited to:
24/7 tenant emergency response and issue reporting
General property repairs and maintenance
Compliance services: Gas Safety Certificates, EICRs, PAT testing, fire safety checks
Contractor coordination and oversight
The majority of works are carried out by our in-house team. Where necessary, we may instruct approved third-party contractors.
3. Service Agreements and Pricing
Services may be provided on a pay-as-you-go basis or under a recurring monthly management agreement. All quotes are based on the size and scope of your portfolio. Pricing will be confirmed in writing prior to engagement.
4. Emergency Cover
Our 24/7 emergency maintenance service is available to landlords under specific monthly packages. Emergency attendance is triaged and handled promptly. Call-out charges may apply and will be pre-agreed where possible.
5. Contractor Charges and Referral Fees
While the majority of works are handled in-house, certain compliance or specialist tasks may be referred to approved third-party contractors. Where we coordinate such work:
The price quoted to you may include a reasonable administration or coordination fee.
We may receive a referral fee or commission from the contractor.
These fees are not added in addition to the quoted price.

By instructing KBT Maintenance, you accept that some quotes may include these elements, unless objected to in writing before commencement of work.
6. Payment Terms
Invoices must be paid within 7 days of issue unless otherwise agreed. Late payments may result in suspension of services and interest charged in accordance with the Late Payment of Commercial Debts (Interest) Act 1998.
7. Liability
We will exercise reasonable care and skill in the delivery of all services. We are not liable for:
Any indirect or consequential losses
Issues caused by third-party contractors
Delays due to circumstances beyond our control
Our liability is limited to the value of the relevant service provided.
8. Cancellation and Termination
You may cancel ongoing service agreements with 30 days’ written notice. We reserve the right to terminate services with immediate effect for non-payment, abusive conduct, or breach of terms.
9. Data Protection
We process client and tenant data in compliance with the UK GDPR and Data Protection Act 2018. A copy of our Privacy Policy is available on request.
10. Governing Law
These terms are governed by and construed in accordance with the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the English courts.
